When writing a formal letter

There are several key requirements to keep in mind:

  1. Heading: Include the date, your address, and the recipient's address.

  2. Salutation: Address the recipient using a formal title and surname, such as "Dear Mr. Smith."

  3. Body: The body of the letter should be clear, concise, and well-organized, with each paragraph discussing a separate point.

  4. Closing: End the letter with a formal closing, such as "Sincerely," followed by your signature and printed name.

  5. Tone: The tone of the letter should be professional and respectful, avoiding slang, contractions, or overly familiar language.

  6. Format: Use a standard font and margins, and consider using a business letter format, with single or 1.15 line spacing.

  7. Proofread: Carefully proofread the letter for spelling, grammar, and formatting errors before sending.

Standard font refers to a commonly used typeface that is considered professional and easy to read in a formal setting. Some common standard fonts for business and official documents include Times New Roman, Arial, and Calibri.


Standard margins refer to the white space that surrounds the text on a page. In a formal letter, standard margins are usually set at 1 inch on the top, bottom, and sides of the page. This provides ample space for the recipient to make any annotations or notes on the letter, while also ensuring that the text is easily legible.
